Dear Colleagues,
Welcome back to the new year! I hope you all had a restful break and are feeling rejuvenated for the exciting opportunities that 2025 holds. As we embark on this new year, let’s embrace the energy that comes with fresh beginnings and continue our collective commitment to supporting and empowering our graduate students.
I am pleased to announce that Graduate Student Appreciation Week will take place from April 7-11. This year, we are launching an exciting new initiative: Graduate Student Research Day. This event will feature poster presentations and artistic performances by our graduate students, and we will need your engagement as judges to help make it a success. The day will culminate in the highly anticipated GradSlam, where students will have the chance to showcase their research in three-minute presentations. For the first time, we will be hosting the initial heats and semifinals within the Colleges, which will create an even more vibrant and accessible experience for our graduate students. I strongly encourage you to motivate your students to participate—this is a fantastic opportunity for them to shine!
AI continues to expand rapidly, bringing both opportunities and challenges to our work. To help us navigate these changes, we are planning two additional presentations on the ethics of AI in research, one on February 21st and another on May 16th. These talks will be led by international experts in the field. We will also distribute a guidance document to all programs to help generate conversations with students about the responsible use of AI. This document will support you in articulating expectations and setting clear boundaries.
I am also thrilled to share that we’ve recently hosted our first cohort of faculty who participated in CIMER mentorship training, and a new cohort will begin in the Winter quarter. If you are interested in joining the program, please contact me—we’d love to have you on board!
If you are supervising TAs and/or GSRs, make sure they complete their timesheets appropriately and in a timely manner. I also want to remind you that according to new state law requirements graduate students who receive an employment offer letter are required to complete a misconduct disclosure questionnaire and may be subjected to an additional background check.
As always, I want to stay engaged with all of you and hear more about how we can continue to enhance the graduate student experience. Please feel free to email me or stop by my office in UOB 100 if you would like to chat, share your thoughts, or discuss ideas on how we can improve.
Wishing you all a successful start to the new year, and I look forward to working together to make 2025 a year of growth and achievement.

Funding & Employment
Timesheets
Graduate Students Employees and Postdoctoral Scholars are required to submit timesheets. Academic trainees on salary and stipends paid through UCPath must submit a monthly timesheet to their supervising faculty member. Properly completing timesheets through the Time & Attendance Reporting System (TARS) ensures the timely disbursement of stipends and salaries.
The Business & Financial Services (BFS) department provides comprehensive training on TARS, covering all aspects of leave reporting entry and ensuring compliance with university guidelines. Resources are available to assist in navigating the TARS system efficiently.
