[Faculty] Students affected by the University Riverside Gardens fire

Dear Colleagues,
Every quarter, we have students who experience emergencies or
hardships that requires flexibility in scheduling their final exams or
handing in their final assignments. This quarter we know that there are at
least 84 students in this situation -- those who were displaced by the fire
in the University Riverside Gardens apartment complex. These students are
being rehoused both on campus and in hotels, according to their needs. Many
of them lost their computers; they will be provided loaner laptops through
a partnership between ITS and the Library. The Library is also prioritizing
access to course reserve materials for those students who lost their books
and other materials.
We remind instructors of Senate Regulations R1.1.1.1 and R1.4, which
address Grade Delays and Incomplete grades:
*“The grade GD (Grade Delay) shall be entered on the student’s record: a)
when administratively the faculty member is not able to assign a grade or
b) when disciplinary proceedings are in progress.” (R.1.1.1.1)*
*“The grade I (incomplete) denotes that a student's work was of passing
quality but incomplete for good cause.” (R1.4)*
In accordance with these regulations, unless the narrow requirements for a
GD are fulfilled, a student’s excused absence from the final exam should
warrant the grade I. (Completion of the coursework is normally expected
within one quarter, but this normative timeline can be extended by the
appropriate Dean). We encourage flexibility in determining criteria for
“passing quality” and “excused absences” for the students affected by the
fire and for any others who have experienced an emergency or hardship.
