As the Impact23 stabilization of new systems unfolds, regular email updates aim to keep you informed about our progress, solutions to known issues, timeline changes, and available resources. KEY FACULTY UPDATES
Fiscal Close: As the new fiscal year approaches, please note that department fiscal staff are focused on meeting several critical deadlines and activities to ensure a successful fiscal close and effective budgeting for the upcoming year. Your cooperation and timely submission of required documents and approvals are greatly appreciated.
Notification Request: The Faculty Advisory Workgroup<https://impact23.ucr.edu/program-team#faculty-advisory-workgroup> has requested that Principal Investigators (PIs) be notified immediately upon UCR's receipt of a notice of award (NOA). There have been instances where sponsors, such as the NIH, have approved awards, but PIs were not promptly informed. Prompt notification of PIs upon receiving the NOA will expedite necessary PI actions and accelerate the initiation of research projects.
Research and Economic Development (RED) is researching solutions to ensure PIs are informed promptly. Various methods, including automated email notifications and in-system notifications, are under review.

Supplier Onboarding & Payments: Onboarding suppliers with tax-reportable payments, such as honorariums and human subject payments, remains a top priority. This is a reminder that for payments (excluding one-time reimbursements), payee onboarding should be requested and completed before the individual(s) arrive on campus. The payee must submit all necessary information and tax forms to complete the process. We acknowledge that this can be challenging and may require staff assistance to ensure completion. Faculty and staff are encouraged to share only the most current guidance to help expedite the process, as there have been updates since its initial implementation.

Payroll Certification System: Development work on the new Payroll Certification system is underway, with central office testing officially commencing on 6/12. Due to the involvement of faculty in payroll certifications, this tool will only be released after thorough data validation during the testing phase.
Web Recharge Tool: Significant progress was made with Web Recharge. 115 service providers have been created in production, with 67 billing over 17,000 charges. Ongoing efforts include troubleshooting a credit memo issue to ensure accurate transactions and developing template billing to streamline mass billing uploads. Additionally, a new form for requesting additional service providers is being created.
PI Financial Reporting Needs: We have received feedback from Principal Investigators (PIs) indicating the need for more comprehensive transactional detail financial reporting for their contracts and grants. To address this, we are actively gathering insights from various departments across campus to ensure our reporting meets the specific requirements and needs of PIs.
Impact23 Priorities for the Near Future: We are collecting input from across campus on key priorities for improvements in Impact23, so we can provide more value to the campus. Some adjustments may be more modest and some may be more like reengineering a current process. Please feel free to pass along any of your ideas to your Organizations CFAO.

These sessions offer updates on stabilization efforts and are an opportunity to address current issues. Please note that the Concierge Zoom call queue will be phased out on 6/30. Moving forward, if central support is needed, please submit a ticket for assistance.
