[Msoadm] UCPath COA Cutover - Campus Update

Dear Colleagues,

An important component of the Impact23 program is the conversion of UCPath to our new COA structure and remapping position funding to the new COA.  UCR's payroll team have coordinated closely with the UCPath Center on these critical updates.  Please review the following the UCPath CoA cutover updates and complete the requested actions.


  *   UCPath configurations for the new chart of accounts (CoA) are complete.
  *   Data conversion of position funding is complete
     *   Biweekly (BW) and Monthly (MO) position COA conversions are complete
     *   Health Science position COA conversion have been uploaded and are pending completion
     *   All positions have been converted based on last effective date for FY23
  *   Data validation is in progress
  *   Position Funding Tool
     *   The new tool using the COA is available via R'Space Authorized Applications
     *   [cid:image002.png at 01D9B22D.D5F620D0]
  *   Position Funding Reports
     *   New CoA position funding reports have been generated and are available in iReport

Please coordinate the following actions for your ORG/Department:

  1.  Department SAAs:  ensure appropriate staff have access to the position funding tool based on their job role.
     *   All previously assigned EACS ServiceLink "FAU Transactor" and "FAU Approver" roles have been mapped the new EACS "Position Funding Change Request" Transactor and/or Approver roles
     *   Please confirm the access to Position Funding is appropriate and adjust accordingly via EACS
  2.  Department Analysts: Review position funding reports on iReport
     *   Please review the BW positions which are identified by the "EMPL_TYPE = H"

                                                   ii.     Validate COA chart strings

     *   Correct "No Funding status" to avoid postings to suspense COA

                                                    i.     This status means the FAU to COA conversion was not successful (e.g., invalid COA combination, no budget linking chart string together, etc.)

                                                   ii.     Identify an validate the COA combination and update the BW position using the Position Funding tool to avoid posting to suspense and the need for cost transfers

                                                 iii.     The next upcoming payroll biweekly cycle deadline for approved change requests is 4:00pm, Wednesday, July 12.

     *   Position Movement

                                                    i.     ORG restructuring impacts positions and position funding

                                                   ii.     Please make sure any ORG/Department changes effective July 1st are reflected on the position setup in UCPath

                                                  iii.     If positions moved to new department structure effective July 1st, they will also display no funding
